Realcoach Rory Ltd is the data controller responsible for your personal information when you use the Legacy website, complete a Legacy form, apply for coaching, purchase a programme, or engage with Legacy services.

Throughout this policy, “Legacy”, “we”, “us” and “our” refer to Realcoach Rory Ltd trading as Legacy.

What This Policy Covers

This policy explains how we collect, use, store and protect personal information when you:

Visit a Legacy website or landing page;
Complete the Legacy Fatherhood Audit;
Join a waitlist;
Apply for Legacy Advance;
Register for a masterclass or event;
Purchase or participate in Legacy Blueprint, Legacy Advance or another Legacy service;
Contact us by email, form, social media or direct message.

Legacy is a coaching and education service. It is not a medical, psychiatric, therapeutic, crisis or emergency service.

Personal Information We Collect

The information we collect depends on how you interact with Legacy

This may include:

Name, email address, country and contact details;
Work, career, business and responsibility context;
Family and household context, including relationship and fatherhood information;
Responses to the Legacy Fatherhood Audit;
Legacy Advance application answers;
Goals, challenges, habits, routines and coaching history;
Training, nutrition, lifestyle and progress information;
Weight, measurements, progress photos, food logs and app activity;
Injury, health, wellbeing or mental-health information that you choose to provide;
Payment, billing and transaction information;
Messages, comments, feedback and communications with us;
Marketing preferences and consent records;
Testimonial, transformation, image or message permissions where you choose to provide them.

Please avoid sharing unnecessary identifying information about another person, including your partner or children.

Information collected automatically

When you visit our website, we may collect technical and usage information such as:

Pages visited and actions taken on the site;

Approximate location based on IP address;

Information From social media

Where you contact Legacy through Instagram, Facebook or another social platform, we may receive
your display name, username, public profile information, messages and interaction data that you
choose to share.

Payment information

Payments are processed by Stripe. We do not store full payment-card details ourselves.

Calls and recordings

We use Zoom and Calendly for calls and bookings. Legacy does not record coaching calls, Zoom calls or
voice notes unless we clearly notify you and obtain any required permission beforehand.

Special Category and Sensitive Information

Some information you may choose to provide is more sensitive. This can include health, injury, bodycomposition, nutrition, mental-wellbeing or relationship information.

We only process this information where it is relevant to the support you have requested, such as tailoring training, nutrition, accountability or coaching. We rely on your explicit consent where required.

You may withdraw that consent at any time. However, this may limit the level of personalised coaching or support we can safely provide.

We do not use health, wellbeing, relationship or Advance application information for advertising audiences, retargeting or unrelated marketing.

How We Use Your Information

Deliver coaching, education, support and programme access;
Process applications and assess whether a programme is an appropriate fit;
Provide Audit results, reports and requested resources;
Set up and manage your Trainerize account;
Deliver training, nutrition, habits, accountability and coaching support;

Arrange and manage calls;
Communicate about your purchase, programme access or account;
Send marketing emails where you have opted in or where permitted by law;
Improve our website, coaching systems, services and client experience;
Protect the security and integrity of our systems;

Use testimonials, client messages, progress photos or transformation content only where you have separately given permission.

Marketing Communications

We only send marketing emails to prospective clients where you have actively opted in.

Marketing may include Legacy guidance, programme updates, masterclass invitations, waitlist information and future offers.

You can withdraw marketing consent at any time by clicking unsubscribe in an email or contacting us at realcoachrory@gmail.com.

If you are an active client, you may still receive essential programme-related communications through Trainerize or another delivery platform even if you opt out of marketing.

Cookies, Meta Pixel and Tracking

We use essential cookies and similar technologies required for website functionality, security and form delivery.

Where you consent, we may also use Meta Pixel to understand website activity, measure advertising performance and show relevant Legacy advertising on Meta platforms.

We will not activate non-essential cookies or Meta Pixel until you have given consent through our cookie banner.

You can change or withdraw your cookie preferences at any time through the cookie settings available on the website.

Who We Share Information With

We do not sell, rent or trade your personal information.

We may share limited personal information with trusted service providers where necessary to operate Legacy, including:

WordPress and website-hosting providers — website operation and security;
Typeform — Audit, waitlist and application forms;
Stripe — payment processing;
Trainerize — programme delivery, training, nutrition, habits and progress tracking;
Airtable — internal client and operational management;
Zoom — video coaching calls;
Calendly — call booking;
MailerLite — email marketing and consent management;
Meta — advertising measurement and retargeting, where cookie consent is provided

These providers are only permitted to process information as necessary to provide their services to us and under appropriate contractual safeguards.

Therapy support

Where therapy support is available through Legacy Advance, the therapist operates independently.

The therapist does not have access to Legacy coaching records unless you personally choose to share information with them. Legacy does not receive therapy notes, clinical records or private therapysession details.

The therapist’s own privacy notice and client agreement will apply to therapy services.

Legal and professional disclosures

We may disclose information where necessary to:

Comply with law, regulation, court order or lawful authority request;
Protect the rights, safety or property of Legacy, our clients or others;
Obtain professional legal, accounting or insurance advice;
Enforce our agreements or respond to disputes.

How Long We Keep Your Information

Our usual retention periods are:

Audit responses, waitlist forms and unsuccessful applications: up to 1 year;
Client coaching records, onboarding information, Trainerize data and progress photos: up to 5 years after the coaching relationship ends;
Marketing information: until you unsubscribe, withdraw consent or we no longer need the information for the purpose for which it was collected;
Testimonials, transformation material and client messages approved for marketing: until consent is withdrawn, the material is removed from active use, or it is no longer needed;
Payment, invoice and tax records: for as long as required by applicable accounting or tax law.

We may retain anonymised or aggregated information for longer where it can no longer identify you.

Your Rights

Depending on applicable law, you may have rights to:

Ask for access to your personal information;
Ask us to correct inaccurate information;
Ask us to delete information in certain circumstances;

Automated Routing and Profiling

We may use form logic to route people through different next steps, such as an Advance application booking route, a waitlist route or a non-booking route.

This routing is used to organise applications and assess immediate suitability. We do not make solely automated decisions that produce legal or similarly significant effects. Applications are reviewed by a person.

Data Security

We take reasonable technical and organisational steps to protect personal information from unauthorised access, loss, misuse, alteration or disclosure.

Access to active client coaching information is limited internally to Rory and authorised senior coaches who need the information to provide support.

No online system is completely secure. You should take care when submitting information online and should not share passwords or unnecessary sensitive information.

Children

Legacy is for adults aged 18 and over.

We do not knowingly collect personal information from children. If we become aware that we have collected information from a person under 18 without appropriate authority, we will take reasonable steps to delete it.

Changes to This Policy

We may update this policy from time to time to reflect changes to our services, systems, legal obligations or data practices.

The latest version will always be available on our website. Where changes are material, we will take reasonable steps to notify affected clients or subscribers.
